Who we are
Resource Witch is operated by Maid By Experts LLC, a Texas limited liability company, which is the data controller for the personal data described here — meaning we decide how and why it's used.
Data we collect and why
- Account details (name, email, password or sign-in via Google/Apple/Microsoft) — to create and run your account. Legal basis: contract.
- Subscription status and team membership (plan, seat invites by email) — to give you and your coworkers access. Legal basis: contract.
- Search activity (search terms, locations or ZIP codes, addresses typed for drive-time estimates) — to return results. Addresses for driving distance are sent to our mapping provider to calculate the route and are not stored by us. Legal basis: contract.
- Technical data (IP address, browser and device information, usage logs) — for security, fraud prevention and improving the service. Legal basis: legitimate interests.
- Support messages — to answer you. Legal basis: legitimate interests.
- Marketing emails — only if you agree; you can opt out anytime. Legal basis: consent.
Please don't enter patient names or other protected health information. Resource Witch is designed for searching providers, not storing patient records.
Who we share data with
- Service providers that help us run the service — hosting and database, sign-in, mapping, web research and email delivery.
- Stripe, our payment processor, for checkout, subscriptions, tax calculation and invoicing. Stripe handles your card details under its own privacy notice; we never see your full card number.
- Professional advisers such as lawyers and accountants.
- Authorities where the law requires it.
We don't sell your personal data.
How long we keep it
We keep account data while your account is active and for a reasonable period after, then delete or anonymise it — unless we must keep it longer for legal, tax or accounting reasons. Logs are kept for a limited time for security.
Your rights
Depending on where you live, you may have the right to access, correct, delete or export your data, object to or restrict certain uses, and withdraw consent. To use these rights, email sales@resourcewitch.com; we'll respond within 30 days. You can also complain to your local data protection or consumer authority.
International transfers
Resource Witch is run from the United States and our providers may process data in the US and other countries, with appropriate safeguards where required.
Security
We use appropriate technical and organisational measures, including encryption in transit, access controls and limiting who can see data.
Cookies
We only use essential cookies and browser storage needed to keep you signed in, remember recent views and run checkout. We don't use advertising cookies. You can clear them in your browser settings, but sign-in won't work without them.
